Hello Robson Ranch –
At the start of each New Year, I like to provide information that may be helpful to anyone who may rent their home or has guests that visit Robson Ranch throughout the year. The following communication covers the process for registering both renters and guests. If you have any questions on either process, please let me know by replying to this email or by calling the office at 520-426-3345.
Renters:
Programmable card are issued for all renters, similar to the homeowner membership card. The registration process takes place at the Ranch House and is very similar to a homeowner onboarding but in this case, it will involve information we need about your renter. The following items are needed from you prior to your renters arriving at the Ranch:
1. Qualified Tenant form – this form must be filled out and signed by the homeowner. An electronic copy can be found on the HOA website. After logging in, please click on the document tab (left margin) and then under the drop down menu on the right, click on “rental forms”. You may also pick a copy up from us at the Ranch house front desk. Please make sure your renters meet the age qualification requirements for Robson Ranch.
2. Lease – a copy of the lease must be included with the Qualified Tenant form for our review. It will be returned to you at the same time as we do not keep a hard copy. Please note: leases must be for no less than 30 days which is strictly enforced. Daily, weekend and weekly rentals are prohibited per the community rules Anyone posting ad’s on VRBO, Airbnb or other rental websites for opportunities that do not meet the Associations rental policy will be contacted and asked to remove the posting.
Registration – Upon arrival to the Ranch, all renters should proceed to the Ranch House front desk for onboarding. Onboarding hours are from 9:00 am to 5:00 pm Monday – Friday. We may ask to see a form of ID to verify their age. If you have a situation where your renters will be arriving over the weekend please let us know in advance so we can help answer your questions as the office is not open on Saturday/Sundays. Please call the office at 520-426-3345.
Renter Card – after registration, renter cards will be issued which will automatically deactivate when the renters lease expires. The renter cards are to be used when visiting the sports club as a means of “checking in”. At the time the lease expires, the renter cards should either be left on the counter in the home or returned to the Ranch house front desk. A reminder to all, please don’t forget that while you have renters occupying your home, you forfeit your rights to use the amenities and can no longer charge at the restaurant during the time frame of the lease.
Guests:
Similarly to the new renter process, all guests must be registered at the Ranch house front desk. Programmable cards are issued for all guests similar to the homeowner membership card. The registration process takes place at the Ranch House front desk and is very similar to a homeowner on boarding but in this case, it will involve information we need about your guests. The following items are needed from you prior to your guests arriving at the Ranch:
1. Guest Guideline Form – this form must be filled out and signed by the homeowner. An electronic copy can be found after logging in to the HOA website under the documents tab (left margin) and then under the drop down menu on the right, click on “guest forms”. You may also pick a copy up from us at the Ranch house front desk.
2. Guest Card – Guests will be “on-boarded” into Northstar and given white guest cards that scan the same way as the homeowners cards do at the sports club. The Guest accounts will automatically deactivate when the date on the guest guideline form expires. Should your guest return again later in the year, you will need to fill out a new guest guideline form for the guest to be reactivated. We ask that if your guest regularly visits, that you please keep the white guest card that is issued for that person. When they return, please stop by the Ranch house front desk for processing. You may also return the guest card back to the Ranch House front desk when your guest leaves as we can reuse the card and issue your guest a new card the next time they visit. You can compare these cards to hotel room keys. We can reprogram them to different individuals as needed. Any guest visiting the Ranch for more than 28 days per calendar year must apply for and pay for an associate membership. Please call us separately if you have guests that stay beyond the allowed 28 days per year. We will explain the associate membership program to you. The office can be reached at 520-426-3345.
